Vehicle Transportation in South Africa: What to Check Before Booking

Two vehicles loaded on a car-carrier truck

Booking a car or motorcycle to be transported is different from booking ordinary freight. The vehicle may be valuable, may have mechanical limitations and must be handled carefully at collection and delivery. Whether you are relocating, buying a vehicle from another city or arranging business transportation, the right questions can prevent uncertainty before the movement begins.

Give accurate information about the vehicle

Start with the make, model, approximate dimensions and type of vehicle. Explain whether it can start, steer and roll normally. A non-running vehicle may need different collection or loading arrangements, so do not leave that detail until the driver arrives.

Mention modifications that affect ground clearance, width or loading, including very low bodywork or oversized tyres. If the vehicle has unusual equipment attached, clarify whether it can remain in place during transit.

Confirm collection and delivery locations

Provide complete addresses, contact numbers and preferred dates. Tell the transporter whether either location has narrow roads, restricted entrances or steep ramps. Establish who is authorised to release the vehicle and who will receive it. If the delivery location has limited opening hours, this should be part of the plan.

Ask whether the quote is based on a particular pickup or delivery window and how changes to the route affect the arrangement. Avoid assuming that collection is available at every address without confirmation.

Record the vehicle’s condition

Take clear photographs before handover, including all sides of the vehicle, the wheels and any existing marks or dents. Note visible damage, mileage and the vehicle’s general condition. Keep copies of collection and delivery documents or acknowledgements provided by the transporter.

Agree how the vehicle’s condition will be checked on delivery and what to do if you notice a concern. This provides a useful record for both customer and service provider.

Prepare the vehicle for transport

Remove personal belongings that do not need to travel with the vehicle and secure any loose items. Follow the transporter’s instructions regarding keys, fuel level, alarms and detachable accessories. Check whether documents or identification are required at handover and do not leave confidential documents unnecessarily inside the vehicle.

For motorcycles, confirm loading and securing requirements specific to the model. Ask about any restrictions affecting modified, inoperable or unusually large vehicles.

Compare quotes and confirm service scope

Ask what kind of transport is proposed, how loading and unloading will be managed, which locations are covered and which charges are included. Ask separately about insurance arrangements, exclusions, delays and handover responsibilities. A low price is not a useful comparison unless the service scope is the same.
